Mosaic is a complete management information system for schools and multi-academy trusts — timetabling, attendance, behaviour, safeguarding, assessment, examinations, reporting and parent communication, brought into a single platform. It is built to work for teachers as much as for leadership.

Mosaic is in beta — in active development and onboarding its first partner schools. We are looking for schools and trusts who want a say in how it takes shape.

The problem

Schools have too many systems and too few answers

A typical school operates attendance tracking in one system, timetabling in another, and assessment records in a third. Behaviour logs live in a spreadsheet. Parent communications go through a separate portal. Statutory returns are assembled by hand, pulling data from all of the above.

The result is predictable: duplicate data entry, version mismatches, and hours of administrative work that fall on teachers and school office staff every week. A teacher who wants a clear picture of how a particular pupil is performing — attendance, pastoral notes, and academic results together — often cannot get it without contacting three different colleagues.

Leadership teams face the same problem at a different scale. Producing the data needed for governors, inspection, or DfE submissions means exporting from multiple sources and reconciling it by hand. That is time and resource that could be directed at improving outcomes.

Fragmented tools

Attendance software, timetabling platforms, assessment trackers, behaviour logs, and communication portals operating independently. No single source of truth. Data that disagrees with itself.

Admin that belongs elsewhere

Teachers re-entering data they have already recorded. Office staff exporting spreadsheets to produce returns that should generate themselves. Time spent on process instead of teaching and learning.

The problem is not a shortage of software. It is software that does not communicate — systems acquired over years, from different vendors, each with its own interface and its own data model. Mosaic removes that fragmentation.

Mosaic can draft report comments, summarise a pupil’s record and surface patterns worth a closer look. The assistance is optional and reviewable, and every decision — including every mark — stays with the teacher.

Behaviour, pastoral and safeguarding

Behaviour events, rewards, detentions and report cards alongside a full pastoral chronology. Safeguarding is held in a separate, DSL-locked store — visible only to designated staff, never to general users.

Role-based access across the whole school

Every user sees exactly what their role requires and nothing more. Teachers access their own classes and pastoral groups; senior leaders see school-wide analytics; office staff manage administrative functions; parents view only their own children. Safeguarding records stay locked to designated staff. One platform with granular permissions — no separate logins, no data exposure outside role boundaries.

Multi-academy trusts

One trust, every school, one view

Trust leaders get aggregate attendance, attainment and behaviour across every school in the trust, with school-level operational autonomy preserved underneath. Benchmark schools against one another without forcing uniformity on any of them.

The trust view is privacy-safe by design. It draws on aggregate figures only — no pupil-level data — and small cohorts (fewer than five pupils) are suppressed so individuals cannot be re-identified, in line with the ICO Children’s Code.

Strict tenant isolation

Each school’s data is isolated at the database level. The trust layer can read aggregates, never pupil records.

Small-number suppression

Cohorts below five are withheld to prevent re-identification of individual pupils.

Data, security and deployment

Built for children’s data from the ground up

Schools hold some of the most sensitive data imaginable: information about children, welfare records, safeguarding notes. Mosaic is engineered so that every design decision survives UK GDPR, the Data Protection Act 2018 and the ICO Children’s Code — when in doubt, the stricter reading wins.

You choose where it runs. Mosaic deploys as managed cloud, on a dedicated UK-hosted instance for residency-sensitive tenders, or fully on-premise on the school’s own server — the same platform either way.

Security accreditation, including Cyber Essentials Plus and independent penetration testing, forms part of our route to general release.

Special-category data encrypted

Safeguarding, SEND, medical and similar special-category fields are encrypted at the application layer, so a database dump never exposes them in plain text.

Tamper-evident audit log

Access to personal data is recorded in an append-only, hash-chained audit log that staff cannot alter or delete.

Granular role-based access

Permissions throughout, with safeguarding isolation enforced as an architectural rule rather than a configurable option.

Tested backups and recovery

Automated, off-disk backups with point-in-time recovery and regular restore drills — not just a backup job that has never been tried.
